JOB DESCRIPTION - Executive Assistant

Responsible for Business Plan Priorities 2021-22:

Event planning, management and administration, from ideas through to execution, including organising venues and speakers, promotion and financial management of the events budget. Our events programme includes membership networking, workshop training as well as the high-profile annual Merton Best Business Awards.


Working with other team members to co-ordinate and produce monthly e-newsletters, weekly e-shots, as well as keeping our website up to date and communicating on our social media platforms.


The emphasis here is on recruitment and retention, helping to provide excellent customer care for our three levels of membership.

Database administration

Using both our customer relationship software (CRM) and Mailchimp to keep accurate records on our members and local businesses.

Other membership services, office administration and recruitment of businesses to take up our service offers.

Events co-ordination: To draw up and deliver the annual programme of events

Development of an annual event plan following key themes – in conjunction with the CEO.

Event management – from organising venues, online events, guest lists and speakers through to refreshments, equipment and anything else relevant to the event.

Preparation of handouts and paperwork.

Identifying suitable speakers, trainers, presenters and workshop themes, as well as liaising with sponsors.

Production of promotional materials, including copy, for use on a range of communications including website, social media, fliers and emails.

Promote events, including co-ordination of via available communication channels including via ‘phone, email (Mailchimp), social media, fliers and website.

Co-ordinate production and distribution of e-mail marketing campaigns.

Promote events in Chamber’s e-newsletter and hard copy publications.

Meeting with partners and other organizations to agree and organise events.

Taking payments from customers, either online or over the phone.

Organising feedback to provide customer satisfaction reviews and ideas for future events.

Process paperwork and enter details onto CRM to people are contacted for future events.

Marketing and Database Management

To maintain an up-to-date CRM.

To make active and relevant posts on our social media platforms and communications (Twitter, Facebook, Linkedin and Instagram).

To extract data to support mailouts, emailing, segmented marketing and research activity.

Updating and keeping content relevant and topical on the Merton Chamber website.


To work with other team members to assist with the Chamber membership process including enquiries and promotion of membership.

Work with team members to identify and recruit new members.

Work with the CEO in identifying patron and premier members.

To communicate with members on opportunities and issues.

Contact new business service clients to promote benefits of membership.

Help in maintaining an up-to-date database of members and accurate membership details.

Respond in a timely and relevant way to service member’s enquiries and concerns.

Experience and skills


A self-starter who can use their own initiative and contribute ideas.

Excellent organisational skills, with a logical and systematic approach to work.

Experience in event and meeting coordination.

Strong in customer relationship management and sales techniques.

Excellent communication skills, both written and verbal.

Strong and proven time, task and project management skills.

Able to gather, analyse and evaluate data and information and prepare reports.

Good interpersonal and representational skills.

An understanding of the business world.

Confident in Office 365 products (eg: Word, Excel, Publisher, Powerpoint) and Mailchimp.

Experience of using CRM databases.

Strong knowledge of digital platforms and social media.

Experience in working in a pressurised environment with lots of competing priorities.


Experience in producing reports and using design tools such as Canva.

Experience in running meeting and making presentations.

A willingness to go the “extra mile”.

Salary: £27,000 per annum pro rata (actual salary £16,200 to £19,280)

Holiday Entitlement: 25 days + Bank Holiday per annum pro rata

Hours of Work: 21-25 hours per week (open to 3 full days or 4/5 shorter days)

Location: We are currently working from home due to COVID-19 restrictions but in future the role will be based at our offices in Mitcham, but with the opportunity for some continued homeworking.
